Submission of Abstracts - Guidance

Accepted abstracts will be submitted for publication in Clinical Oncology online. Abstracts will not be edited and will be published as received.

 

PLEASE READ THE GUIDANCE CAREFULLY

BEFORE SUBMITTING AN ABSTRACT

Registrar Authors only are invited to submit abstracts for acceptance for oral and e-poster presentation at the 2021 UKBCG Annual Meeting, 19th November 2021 via the bespoke virtual platform.

Please note that abstract submissions are open to SpRs in breast cancer ONLY.  This individual needs to be the lead/presenting author of ORIGINAL work and is required to attend the UKBCG Annual Meeting.  Please DO NOT submit an abstract if you know you are unable to attend the Annual Meeting.

UKBCG considers submission of original Registrar-driven research projects and those with adequate data to assess the results and interpret the conclusions. The project should substantially be the own work of the submitting Registrar.

Every abstract should be reviewed by a Consultant in advance of submission. The Consultant should also be asked to help prepare the Registrar in advance for any oral presentation to be conducted at the Annual Meeting.

The deadline for submission of abstracts is midnight Sunday 3rd October 2021 and it can only be submitted electronically via the form below.

Those Registrar authors invited to present their abstract for oral or e-poster presentation will be required to register and attend the UKBCG Annual Meeting.  Given the nature of the virtual meeting this year, there will be no registration fee required but Registrars will be required to complete the online registration form (coming soon) by the registration deadline of Sunday 7th November 2021.  If the lead author’s meeting registration is not received by this date then the abstract will be withdrawn from the meeting and any subsequent presentation or publication.  Please do not submit an abstract if you know you will be unable to attend the Annual Meeting.

Important:
UKBCG does not accept abstracts that have:

  • been presented, published, or likely to be accepted elsewhere in advance of the Annual Meeting. Please declare relevant information about any other submissions of the same abstract
  • been written by a medical writer or commercial entity on behalf of the author.

Evaluation

All submitted abstracts will be assessed by the Review Panel who will select abstracts for virtual e-poster display and inclusion in the online abstract booklet at the UKBCG Annual Meeting on Friday 19th November. There is no limit on the number of abstracts being accepted for e-poster but only three of the accepted abstracts will be selected for oral presentation as well.

All authors will be advised on whether their abstract has been accepted or not and if so, whether for oral and/or e-poster presentation by Monday 18th October 2021.

All correspondence will be with the submitting author.

Preparing the Abstract

Abstract submissions should NOT include scientific tables, symbols or diagrams and should not exceed 300 words (excluding references).

The content should be arranged STRICTLY under the following headings: PURPOSE - METHODS - RESULTS – CONCLUSION.

The results should contain adequate data to assess the results and interpret the conclusions. 

References should be identified in the text using square brackets, and numbered and listed consecutively at the end of the paper in the order in which they are first cited in the text. Within reason, the word count excludes the references listed. The Vancouver style needs to be used. (Author(s) – Family name and initials. Title of article. Title of journal – abbreviated publication year, month, day (month & day only if available); volume (issue):pages). If you are providing references and there are more than six authors on a reference, then the first six author names should be listed, followed by ‘et al’.

Presentation Format

Oral presentations – Those abstracts selected for oral presentation will each be strictly timed to eight minutes with two further minutes for discussion. All presentations must be delivered in English. The PowerPoint presentation should be sent to the UKBCG Secretariat (janis.troup@rightangleuk.com) in advance of the Annual Meeting by Sunday 14th November 2021.

e-posters – details on the format for e-posters will be provided to authors whose abstracts have been accepted for the meeting. Registrars are responsible for emailing their e-posters to janis.troup@rightangleuk.com by Sunday 14th November 2021

Citable Publication

Accepted abstracts will be submitted for publication Clinical Oncology online. Abstracts will not be edited and will be published as received.
