2023 UKBCG Annual Meeting

Submission of Abstracts - Guidance

Accepted abstracts may be submitted for publication in Clinical Oncology online on the reviewers' assessment. Abstracts will not be edited and, if accepted by Clinical Oncology, will be published as received.

PLEASE READ THE GUIDANCE CAREFULLY

BEFORE SUBMITTING AN ABSTRACT

Registrar Authors only are invited to submit abstracts for acceptance for oral and poster presentation at the 2023 UKBCG Annual Meeting, being held on Friday 17th and Saturday 18th November 2023.

Please note that abstract submissions are open to UK-based SpRs in breast cancer ONLY.  This individual needs to be the lead/presenting author of ORIGINAL work and is required to attend the UKBCG Annual Meeting.  Please DO NOT submit an abstract if you know you are unable to attend the Annual Meeting.

UKBCG considers submission of original Registrar-driven research projects and those with adequate data to assess the results and interpret the conclusions. Please note that case reports are not accepted. The project should substantially be the own work of the submitting Registrar.

Every abstract should be reviewed by a Consultant in advance of submission. The Consultant should also be asked to help prepare the Registrar in advance for any oral presentation to be conducted at the Annual Meeting.

The deadline for submission of abstracts is midnight Sunday 1st October 2023 and it can only be submitted electronically via the form below.

Those Registrar authors invited to present their abstract for oral or poster presentation will be required to register and attend the UKBCG Annual Meeting.  Registrars will be required to register for the meeting by the registration deadline of Sunday 29th October 2023. If the lead author’s meeting registration is not received by this date then the abstract will be withdrawn from the meeting and any subsequent presentation or publication.  Please do not submit an abstract if you know you will be unable to attend the Annual Meeting.

Important:
UKBCG does not accept abstracts that have:

  • been presented, published, or likely to be accepted elsewhere in advance of the Annual Meeting. Please declare relevant information about any other submissions of the same abstract
  • been written by a medical writer or commercial entity on behalf of the author.

Evaluation

All submitted abstracts will be assessed by the Review Panel who will select abstracts for poster display and inclusion in the abstract booklet for the 2023 UKBCG Annual Meeting. There is no limit on the number of abstracts being accepted for poster display but only three of the accepted abstracts will be selected for oral presentation as well.

All authors will be advised on whether their abstract has been accepted or not and if so, whether for oral and/or poster presentation during w/c (week commencing) Monday 16th October 2023.

All correspondence will be with the submitting author.

Preparing the Abstract

Abstract submissions should NOT include scientific tables, symbols or diagrams and should not exceed 300 words (excluding references).

The content should be arranged STRICTLY under the following headings: PURPOSE - METHODS - RESULTS – CONCLUSION.

The results should contain adequate data to assess the results and interpret the conclusions. 

References should be identified in the text using square brackets, and numbered and listed consecutively at the end of the paper in the order in which they are first cited in the text. Within reason, the word count excludes the references listed. The Vancouver style needs to be used. (Author(s) – Family name and initials. Title of article. Title of journal – abbreviated publication year, month, day (month & day only if available); volume (issue):pages). If you are providing references and there are more than six authors on a reference, then the first six author names should be listed, followed by ‘et al’.

Presentation Format

Upon notification of whether your abstract has been accepted for presentation at the UKBCG Meeting, further details on presentation formats will be provided,

UKBCG will provide and fund a service for the production of posters. Further details on this will be issued on notification of acceptance. Please not that this service is for the physical production only of the poster. It excludes the design of posters.

Citable Publication

Accepted abstracts may be submitted for publication in Clinical Oncology online on the reviewers' assessment. Abstracts will not be edited and, if accepted by Clinical Oncology, will be published as received.
